Privacy policy

How RMT Metrotown collects, uses, and protects your personal information.

This is a draft policy written for a BC massage therapy clinic. Have it reviewed by a lawyer before launch, confirm the effective date, and make sure it matches your actual booking software, insurers, and data practices.

Effective date: [date]. This policy explains how RMT Metrotown (“we”, “us”) collects, uses, and protects your personal information when you visit our clinic, book an appointment, or use this website. As a healthcare provider in British Columbia, we handle personal information in accordance with the BC Personal Information Protection Act (PIPA) and the record-keeping requirements of the College of Massage Therapists of British Columbia (CMTBC).

What we collect

To provide registered massage therapy safely, we collect: your name and contact details (phone, email, address); your health history and treatment notes, which we are required to keep as regulated health professionals; insurance details you share for direct billing, such as your plan and member numbers; and ICBC claim information (claim number and date of accident) when treatment relates to a motor vehicle accident. When you book online, our booking provider also collects the information needed to manage your appointment.

How we use it

Your information is used to provide and document your treatment, communicate with you about appointments, bill your extended health insurer or ICBC on your behalf, and meet our legal and professional obligations. We do not sell your personal information, and we do not use your health information for marketing.

Who we share it with

We share information only where needed to deliver your care and process billing: with your extended health insurer or ICBC when you ask us to bill them directly; with our practice management and booking software provider, which stores appointment and clinical records on our behalf; and where required by law or by our regulatory college. Anyone we work with is required to protect your information.

How long we keep it

Clinical records are retained for the minimum periods required by the CMTBC and BC law, which extend for years after your last visit. When records are no longer required, they are securely destroyed.

Your rights

You may request access to your records, ask us to correct inaccurate information, or withdraw consent for uses that are not required by law, subject to the limits that apply to clinical records. To make a request, contact us using the details below.
